Departmental groups are updated nightly from current information in the Oracle eBusiness system. Each group contains addresses for university staff in that particular department. These mailing lists are not restricted in normal use. However, combining multiple groups for a single mailing may be considered abuse and will be dealt with accordingly.
These lists include faculty, staff and externals with assignments within the specified organization. Email holds are not recognized for faculty and staff. Externals will not receive the email if they have an email hold on their record.
The group names are derived directly from the department names as they appear in the University phonebook. Some manipulations of those names are necessary so that the resulting addresses are syntactically legal:
- Ampersands (&) and slashes (/) are replaced by hyphens
- Spaces are replaced by hyphens
- Periods and apostrophes are removed
- Names appearing with commas are rotated and the commas removed, e.g., MUSIC, SCHOOL OF becomes SCHOOL-OF-MUSIC
- Any occurrence of multiple hyphens is reduced to a single hyphen
After all of the above, a -L is appended to the end of the prior result to form the actual list name.
