How to share your worklist

How to give another person access to your worklist for a period of time.  You might want to do this if you are going to be gone for a period of time, or if you have a large number of approvals to go through.  Remember who you are giving this access to, is acting on your behalf, and you should trust that they are able to make the decisions that need to be made.

First log in to e-Business and click on the Worklist Access as shown below:
 



Selecting worklist access produces the screen below; at this point click on the Grant Worklist Access button.
 


 

The screen below comes up so you can specify who you want to grant rights to and what you want to allow them to do.  Start off by putting the person’s last name in where I have Abbas, Melanie and hit the magnifying glass to search.  Then select the person you want to grant access to.

Then if you only want to give them access for a certain period of time, specify that.  However you CAN leave the end date blank and the grant will go on indefinitely.

Then look at the available item types (these are types of workflows), for the most part they are self explanatory, however the UNIA Worklfow Management is a “generic workflow” and currently supports the Security Request System and may support others in the future.  So if you want to have help with Security Requests, select UNIA Workflow Management on the left, and move it to the right.

Once you have these things all set, hit the Apply button on the upper right of your page.
 



 

You have completed the set up for Worklist Access.   You can come out to this same page at any time to add more or remove access.

Once you have given access to someone to access your work list, have them log in to ebiz and follow the steps below:

Once logged in note you initially only see that persons worklist items.

To see the “grantor” worklist hit the Switch User button.  Note this button only shows up if someone has granted YOU access to their worklist.  If this has not happened the button will not be there.

 

 

You will then be presented a list of worklists you can access.
 


 

Click on the persons worklist you want to process and  then click apply,  you will be presented the other persons work list and can act on their behalf.
